Whitby School Dispensation Policy

Dispensation is a replacement of period 9 classes for an external activity, and can be awarded for any or all days of the week. Dispensations allow for students who are pursuing a more specialized sport, specialized activity or musical instrument to miss the final period of the day’s classes, Monday through Friday (2:55-3:50).

We believe in offering programs at Whitby that provide an enriching and balanced education but also realize that the opportunities for strong and meaningful activities that you and your child wish to pursue and excel outside of School, can further enrich and broaden their educational and learning experience. This dispensation therefore allows for that opportunity.

Knowing how to work as a team member, to be open-minded and a risk-taker, while developing social problem solving skills and demonstrating perseverance and commitment are learned skills vital to our student’s future success. These lifelong skills transfer back into the classroom and we believe that they are often most developed through our co-curricular program. In supporting external activities while balancing out team sports and group activities the School has an expectation for its Upper School students that they will participate in each year of co-curricular activities that we believe encapsulate the concept of team and group collaborative work.

Co-Curricular Requirements at Whitby

Each Upper School student must meet the following requirements:

1. Play a team sport at least one trimester per year. This means a dispensation if it meets the criteria stated above for the other two trimesters.

2. Select one other group-related class as noted below in at least one trimester each year. This means a dispensation if it meets the criteria stated above for the other two trimesters.

  • A student may therefore play a sport in the Fall and take a group related class in the Spring, or a Fall group related class and a Winter sport. There are many combinations therefore to meet this requirement either both in the same trimester or from different ones. Please note though that some electives are two or three trimester commitments.
  • A student may decide to choose the team sport and one other group related class in the same trimester so therefore receiving a dispensation for the other two trimesters for the entire week, providing that it meets the criteria stated below.

Other group related classes apart from sports include: Musical Theater, Art Installation, Math Counts, Ensembles and MMUN

Mandatory Dispensation Criteria

To receive a dispensation, students must meet all THREE of the following criteria:

1. The student is pursuing an activity that cannot be provided by the School or is at a level so extensively beyond that provided by the School such that the School could not support development of that student through its own instructional staff and practices. The School will follow up with the organisation coach to establish the level of competition that the student is engaged in. Examples include, but are not limited to: 

  • Highly specialized musical instrument instruction in which the parent can attest to concert performances.
  • National or Olympic development level sports. National tour level USTA, Junior PGA are examples.
  • Horseriding/Equestrian, Ballet, Competitive Level Swimming, Competitive Level Gymnastics and Martial Arts in which the student demonstrates attendance at competition or scheduled performances. Sports that the School do not offer.
  • Pursuing studies and language development in the native tongue which is not offered at Whitby.

2. The student must be consistently picked up from school promptly between 2:55-3:05. If a child is not consistently picked up at this time, the Athletic Director, Head of Upper School and Head of School, reserve the right to withdraw the dispensation immediately and a conference involving the parent will be initiated. According to our records a dispensation means non-attendance for the last period the day. In the event of an emergency situation our records will indicate that the student should not be in school and is assumed as having left the school, sono attempt will be made to look for the student in the event of an emergency situation.

3. The student is currently in good academic standing. This means no missing assignments, homework or assessments. If this is the case the School reserves the right to require the student to make these up during these 9th period classes and receive additional study support if needed. Also if your child is determined to require additional support in a Lab elective period (Reading/Writing and/or Math Lab), then we would expect your child’s attendance to this and not take a dispensation.

What dispensations do not cover:

  • Personal fitness such as meeting with a trainer, yoga or Pilates classes.
  • Swimming lessons
  • Same season sport practices unless it meets criteria 1 above.
  • Technology classes done outside of School
  • A chance to decompress to get homework completed before a later activity is taken
  • A mandated class such as Grade 8 project in which it is not optional to elect out of
  • Personal coaching in a sport the school already provides, e.g. soccer, basketball.
